#### Miniconf Wrangler
This person's function is to ensure that the Miniconfs are run smoothly. They provide admin support to the organisers and also ensure that the miniconfs are all on track.
The dates below assume a mid/late January conference.
Within a few days of the Miniconfs being accepted (usually in late-August or early September)
* Miniconf organisers (and co-organisers) should be added mailings lists. There should be 2 mailing lists: an "announce" list to send things to all miniconfs, probably called "miniconf-announce" and moderated, and a "discussion amongst Miniconf organisers" one, perhaps called "miniconf-discuss"
* Access the registration system should be setup to allow Miniconfs to run their own CFPs
* This process should be well documented and checklists in place for setting people up
* Some Miniconfs have multiple organisers than need to be setup

* Which Miniconfs are on which should be confirmed with the Organisers (to head off potential clashes)
There was a problem hiding this comment. Choose a reason for hiding this commentThe reason will be displayed to describe this comment to others. Learn more. Missing word: ".... are on which days should be confirmed..." |
* The schedule of each Miniconf day should be finalised.
There was a problem hiding this comment. Choose a reason for hiding this commentThe reason will be displayed to describe this comment to others. Learn more. Suggestion: "The schedule of each day that has Miniconfs should be finalised." Reasoning: It makes it clearer this is the overall conference schedule that needs finalising, not the Miniconf schedule internally. |
* Times of each sessions, including required finish time
There was a problem hiding this comment. Choose a reason for hiding this commentThe reason will be displayed to describe this comment to others. Learn more. Suggestion: Perhaps explicitly state the timing of morning tea/lunch/afternoon tea should be fixed early on. (These seem to be things that float around for a while after Miniconfs are trying to do their CFP, and at least the length of them affects the time available for the Miniconf, which affects how much content to try to get...) |
* Time of 5 minute break mini-session to allow switches between Miniconfs
There was a problem hiding this comment. Choose a reason for hiding this commentThe reason will be displayed to describe this comment to others. Learn more. Suggestion: 'Time of common 10 minute "room change" breaks to allow....' Rationale: 5 minutes is pretty tight at most venues. 10 minutes works well both on the main conference days and also at other conferences run by LA, like PyconAU. (If not adopting this suggestion I think "mini-session" is probably meant to be "mid-session".) |
* Ask Miniconf Organisers about any Special room requirements (ie Hardware Miniconfs may need places to solder)
There was a problem hiding this comment. Choose a reason for hiding this commentThe reason will be displayed to describe this comment to others. Learn more. Suggestion: "... if they have any ..." |
* Decide (with rest of team) how Miniconf-only tickets will be handled
* Some Options: "Miniconf Speakers only, free for day of speaking" / "Miniconf Speakers only, discounted" / "Open to all, discounted"
There was a problem hiding this comment. Choose a reason for hiding this commentThe reason will be displayed to describe this comment to others. Learn more. Suggestion: maybe "Open to public" instead of "Open to all" to make it clearer that option would allow Miniconf attendees who are not otherwise able to / coming to LCA. |
* Decide what perks Miniconf organisers get. Normally the main organiser (only) is equivalent to a conference speaker. Sometimes co-organisers will get perks (ie ability to sign up with early-bird rate after that deadline)
Next (September) Miniconfs will be building their programme. Some Miniconfs will want to send out CFPs straight away while some will take longer
* The schedule should be confirmed and on the website with a page for each Miniconf linked
* Some Miniconfs will want special elements in their CFP (such as custom talk lengths). Find out what these are early so you can see if they can be accommodated
There was a problem hiding this comment. Choose a reason for hiding this commentThe reason will be displayed to describe this comment to others. Learn more. As an observation, currently doing this in the symposion software (used by LCA the last few years) it requires custom database entries per talk length. Maybe it's worth explicitly suggesting 5-15 / 15-25 / 30-45 minute combinations be always included for Miniconfs? The main conference CFP tends to have only 45 (talk) and 90 (tutorial) minute options, with lightning talks organised separately, but many Miniconfs accept/want shorter talks and provide a venue for those. |
* Decide how the The Miniconf CFPs (or equivalent) should be supported by the conference
* Usually this will be on the conference website (via news feed) and social media (Facebook, twitter etc)
There was a problem hiding this comment. Choose a reason for hiding this commentThe reason will be displayed to describe this comment to others. Learn more. Suggestion: "Usually this will be announced on ..." |
* A list of rejected (and accepted) talks for the conference will be requested by Miniconf Organisers, this provides a list of people they can approach to give talks
* Miniconf Wrangler should arrange for that extract early, and make it available proactively.
* A CSV extract from the database is usually sufficient
* Miniconf organisers find this very good source for speakers.
* Employers will often allow/fund someone to attend LCA if they are speaking at a Miniconf. They might not be able to attend otherwise.
There was a problem hiding this comment. Choose a reason for hiding this commentThe reason will be displayed to describe this comment to others. Learn more. Suggestion: ".... if they are speaking at the conference (including at a Miniconf). ..." |
* Some Miniconfs may need additional help. Possible examples
* Hardware Miniconfs may need to shipping hardware and have it stored.
* Miniconfs may want advice about local groups to reach out to.
* Miniconf speakers may have VISA problems

By the end of September all the above should be done for all Miniconfs. Some Miniconfs will have send out CFPs already. For the others the wrangler needs to know what their schedule is.
* Closely monitor the Miniconfs during October and November.
* Every couple of weeks check:
* For those sending our CFPs ask how many proposals they have so far and how full they programme is. Followup with those that appear to be behind
There was a problem hiding this comment. Choose a reason for hiding this commentThe reason will be displayed to describe this comment to others. Learn more. Suggestion: "... that appear to not be getting as much content as they had hoped" (rather than "behind", which seems maybe like a Miniconf Organiser failing, but it might be they just haven't reached the right people yet despite trying). |
* For Miniconfs shipping hardware or similar check how this is going.
There was a problem hiding this comment. Choose a reason for hiding this commentThe reason will be displayed to describe this comment to others. Learn more. Suggestion: "... ordering or shipping hardware..." (The hardware ordering timelines seem to most prone to escalating out of control; shipping timelines are at least fairly predictable / worst case often can be solved by excess checked luggage by the organisers...) |
* If not done already allocate rooms according to estimated Miniconf size. For repeat Miniconfs you should be able to get attendance numbers from previous LCAs or the organisers.
There was a problem hiding this comment. Choose a reason for hiding this commentThe reason will be displayed to describe this comment to others. Learn more. Suggestion "... previous LCAs or the Miniconf organisers" |
* Remind the organisers regarding Code of Conduction requirements, recording approvals, etc for their speakers
* Hardware-based Miniconfs have a great potential to go wrong. Shipping delays or faulty hardware can quickly leave the Miniconf unrunable.
There was a problem hiding this comment. Choose a reason for hiding this commentThe reason will be displayed to describe this comment to others. Learn more. Suggestion: maybe add a line at the end something like: "These types of Miniconf are best run with the support of an experienced Miniconf Organiser". Also maybe take out "great" from "a great potential", and maybe add ".. wrong for reasons outside the direct control of the Miniconf organisers". (AFAIK the Hardware Miniconf has never failed to run, but it's required some heroic steps by experienced organisers to make that happen. IIRC the cancelled Miniconf in 2019 was a Miniconf by a first time organiser, who got too far behind for non-hardware reasons.) |
If a Miniconf is is having problems such as problems getting speakers then advise others on the organising team and do you best to help them.
* Encourage Miniconf organisers to ask on Miniconf-discuss list, as other Miniconf organisers might be locals and know who else to contact
There was a problem hiding this comment. Choose a reason for hiding this commentThe reason will be displayed to describe this comment to others. Learn more. Suggestion: "... to ask for assistance on the Miniconf-discuss list...." |
* There may be a meetup group in the LCA city that would be interested in the Miniconf but is not aware of it. Use you contacts or see if others know any.
* Don't let problems drag on. Fixing things at the last minute might be too late.
* If a Miniconf is unable to fill their whole day then other Miniconfs could be extended or a new event (BOFS perhaps) could fill the gap
By Mid-December the following should all be in place
* Miniconfs should publish draft schedules to look out for clashing talks/speakers and these should be sorted
* Schedules for all Miniconfs should be up on the website
* All Miniconf organisers should be registered
* If possible check if Miniconf speakers are also registered
There was a problem hiding this comment. Choose a reason for hiding this commentThe reason will be displayed to describe this comment to others. Learn more. Suggestion: add at the end: ", or encourage your Miniconf organisers to confirm their speakers have registered for the main conference". And maybe something about encouraging Miniconf organisers to check that their speakers have travel / accommodation / visa details sorted out too. |
* Hardware-based Miniconfs should have have everything shipped and in place.
There was a problem hiding this comment. Choose a reason for hiding this commentThe reason will be displayed to describe this comment to others. Learn more. FWIW, hardware based Miniconfs will never have shipped everything in December. It's never happened, as project dev is always ongoing until at least a month out. Maybe change that to "... should have everything ordered ..."? |
* If possible Miniconfs should have contingencies in case of speaker cancellations.
There was a problem hiding this comment. Choose a reason for hiding this commentThe reason will be displayed to describe this comment to others. Learn more. Suggestion: "Encourage Miniconf organisers to have contingencies ..."? |
In the Week beforehand | ||
* Some Miniconf organisers may be interested in a tour of the rooms on the Sunday before LCA
There was a problem hiding this comment. Choose a reason for hiding this commentThe reason will be displayed to describe this comment to others. Learn more. Suggestion: change "may" to "will". And maybe the Miniconf Wrangler should encourage that? Perhaps as part of the Speakers orientation tour? |
* If a Main-conference speaker cancels or is delayed then they will sometimes forget to also tell any Miniconfs they are speaking at. Relay this in case.
There was a problem hiding this comment. Choose a reason for hiding this commentThe reason will be displayed to describe this comment to others. Learn more. Suggestion: "Relay this on if you aware of any such issues". |
* Confirm with the video people what requirements there are for Miniconfs. For those Miniconfs with a lot of speakers an extra podium and microphones allow one speaker to be setup while the other is still speaking.
* Make sure room monitors know what to expect
* Let the organisers know about the room arrangements above.
During the Conference | ||
* Be available | ||
There was a problem hiding this comment. Choose a reason for hiding this commentThe reason will be displayed to describe this comment to others. Learn more. Suggestion: "Be available to assist with issues as they come up". Possibly it's worth suggesting they notify Miniconf Organisers of the best form of real time contact? |
