Standardized rejection mail via drop-down selection (hours not reached, eligibility period not reached, no voluntary work, ...)

If applications for the Bavarian volunteer card are rejected, the applicant does not notice much of it. They can of course click on the status link that they receive with the confirmation of receipt, but will then only see that their application has been deleted. This also happens if the application has been successfully processed.
Describe the solution you'd like
An application should not only be able to be deleted (which must still happen if it has been successfully processed), but it should also be rejected and deleted. This happens, for example, if the requirements have not been met or documents are missing. I have currently asked the Ministry of Social Affairs what other reasons there may be.
So the idea is a kind of drop-down selection in the event of a rejection, which sends a “last mail” in the entire process and provides the applicant with the reason why their application was deleted.
A design from @hauf-toni would certainly be helpful/desirable here too
